Please note - there are 2x positions available and this is a Parramatta based role.

What you’ll do: 

  • Supports: The Executive Support Lead, Office of the CEO and in the daily operations of the Executive Leadership team.

  • Administration: Provide effective administration capability to Executives to ensure that their time and work is organised and prepared for them through managing diaries and calendar appointments, tasks and meetings, travel arrangements (for Executive and Board), ensuring relevant documents and briefings are prepared and reviewed, whilst always handling confidential matters with the utmost discretion.

  • Communication: Act as key liaison point between the Executive and their leaders to ensure cohesion and alignment across the Executives. Ensure that relevant stakeholders are advised in timely manner to ensure the most efficient work arrangements can be made and maintained. 

  • Coordination: Collaborate with the Executive Support team to align activities, meetings, and events with established priorities, prepare for all meetings, team events, and required approvals. Ensure that meeting agendas, supporting materials, action items, and reports are organised and distributed on schedule.

  • Logistical Support: Provide coordination of logistical support for Executive events and meetings. 


What we are looking for: 
 

  • Ability to build and maintain effective professional relationships and to work collaboratively with others both internally and externally to deliver required outcomes.

  • Strong knowledge of positive customer service principles.

  • Ability to pro-actively solve problems with good organisational skills.

  • High level skills in written and oral communication including strength in use of technology solutions.

  • Demonstrated flexibility to work onsite in the Parramatta office in accordance with operational requirements. 

  • Desirable: Understanding or experience working with stakeholders and key relationships in a government context.
